EasyGuarding privacy policy

EasyGuarding handles data for three groups of people — agency staff, guards and the agency’s clients. This page explains what we collect from each and why, in plain language.

01 — What we collect

Account data: names, phone numbers and email addresses of agency staff and client users who are given logins.

Guard operational data, entered by the agency: guard profiles, identity documents, deployment history and attendance records.

Field data, captured during duty only: GPS location relative to assigned site geofences, face-verification images at duty start and end, patrol checkpoint scans, and incident reports with photos.

02 — What we use it for

To operate the service the agency has configured: verifying attendance, tracking patrol completion, routing incident alerts and generating reports and invoices.

Face images are used solely to verify a guard’s identity against their enrolled photo. Guard location is processed only between duty start and duty end — the app records nothing off duty.

We do not sell personal data, and we do not use guard data for advertising.

03 — Who can see it

Access follows the roles the agency assigns. Client users see only the sites covered by their own contract. Guards can view their own records through the mobile app.

We share data with third parties only where needed to run the service (such as cloud hosting and SMS/notification delivery) or where the law requires it.

04 — Retention and deletion

Operational records are retained while the agency’s account is active, since attendance and incident history are the product. When an account closes, data is deleted or returned on request within 90 days.

A guard who leaves an agency can ask that agency to deactivate their profile; verification images stop being processed immediately upon deactivation.

05 — Security

Data is encrypted in transit, access is role-restricted and logged, and face images are stored separately from other guard records.
